Position Overview
We are seeking an experienced Facilities Coordinator to support one of our new transition accounts in Paris. This role is critical in ensuring seamless facility operations while maintaining the highest standards of client satisfaction. The successful candidate will be responsible for comprehensive facility management, from vendor coordination to financial oversight, while building strong relationships with all stakeholders during this transition period.
Key Responsibilities
Vendor Management & Facilities OperationsManage and coordinate multiple facility service vendors (cleaning, security, maintenance, catering, etc.)
Develop and maintain vendor relationships, ensuring SLA compliance and performance standards
Oversee contract negotiations, renewals, and vendor performance evaluations
Coordinate preventive and reactive maintenance programs
Ensure health, safety, and environmental compliance across all facilities
Daily Site OperationsSupervise day-to-day facility operations and provide on-site presence
Respond to urgent facility issues and coordinate emergency response procedures
Manage space planning, moves, adds, and changes (MAC) requests
Oversee building systems monitoring and maintenance schedules
Ensure optimal building performance and occupant comfort
Financial ManagementPrepare and manage annual facility budgets and forecasts
Process and approve vendor invoices, ensuring accuracy and budget compliance
Track and report on facility costs, identifying cost optimization opportunities
Prepare monthly financial reports and variance analyses
Support budget planning processes and capital expenditure requests
People ManagementLead and develop a small team of facility support staff
Conduct performance reviews and provide ongoing coaching
Coordinate training programs and professional development initiatives
Foster a collaborative team environment focused on client service excellence
Service Optimization & Client RelationsContinuously assess and improve facility service delivery
Implement best practices and innovative solutions to enhance operational efficiency
Maintain regular communication with clients regarding facility performance
Conduct client satisfaction surveys and implement improvement plans
Support transition activities and change management initiatives
Required Qualifications
ExperienceMinimum 5 years of experience in corporate real estate services or facility management
Proven track record in vendor management and contract administration
Experience in financial management, budgeting, and cost control within facilities
Demonstrated people management and team leadership experience
Previous involvement in account transitions or change management preferred
Technical SkillsStrong knowledge of building systems (HVAC, electrical, plumbing, security)
Proficiency in CAFM (Computer Aided Facility Management) systems
Advanced Microsoft Office Suite skills, particularly Excel for financial analysis
Understanding of health and safety regulations in France
Knowledge of sustainable building practices and energy management
Language RequirementsFluent in French (native or professional level)
Strong English communication skills (written and verbal)
Additional European languages are an advantage

EducationBachelor's degree in Facility Management, Real Estate, Business Administration, or related field
