Job Overview
We are looking for a proactive and highly organised Project Logistic and Administrative Support professional to join our team in Toulouse. In this role, you will support the IRIS² SpaceRISE programme, manage on-site logistics and administration for our local office, and assist the PMO with critical coordination and documentation tasks. Your contribution will be vital in ensuring smooth project execution and operational efficiency in a dynamic, fast-paced environment.
Who You Are:
You are a detail-oriented and resourceful assistant with a strong background in project support and administration. You thrive in collaborative environments, are comfortable juggling multiple priorities, and can effectively communicate in both English and cross-functional teams. You enjoy providing structure and clarity in high-impact programmes and are confident using modern project and office tools.
What You’ll Do:
Support the IRIS² SpaceRISE Plateau:
- Coordinate all logistics for programme participants (e.g., site access, desks, meeting rooms, internet, catering, etc.)
- Act as the focal point for the SpaceRISE team
- Support the management and issuance of permanent badges
Support the Eutelsat Office in Toulouse and Issy-les-Moulineaux:
- Assist with office-related logistics, including furniture orders and visitor arrangements
- Organise all necessary logistics for any SpaceRISE meetings at our ILM site
Provide Administrative Support to the PMO:
- Manage meeting planning and maintain the actions register
- Draft and circulate meeting minutes
- Consolidate and support internal review meetings (MPR, IRB, etc.)
- Support user access and SharePoint issue resolution
- Create welcome packs for new IRIS² colleagues (programme overview, consortium roles, org chart, tool guides, etc.)
- Be the point of contact for Eclipse and iObeya onboarding
What You’ll Need:
- Proven experience in administrative/project assistant roles
- Proficiency in PowerPoint, Excel, Jira, and iObeya
- Strong organisational and multitasking skills
- Excellent communication and interpersonal abilities
- Fluency in English (written and spoken)
- Availability for a 9-month full-time interim contract, based in Toulouse with occasional travel to Issy-les-Moulineaux
