The Commercial Assistant performs a variety of administrative duties to support the Commercial Support Team. Ensuring the smooth flow of information and following up any activities related to either the whole commercial functions operations.
He/She is also in charge of receiving all incoming calls, walk-in clients, other visitors, couriers and other deliveries and ad hoc general office duties, when required.
Main Duties:
- Keeping up to date all information related to the Brokers’ client portfolios, the charter fleet, and public information such as technical details, photos, sales status, and the location of central agency yachts;
- Participate in the Yacht Shows & open days, when required, with preparation of relevant documentation for each yacht displayed;
- Assist internal interlocutors, when required;
- Following up & keeping a record of all enquiries;
- Acknowledging & following accurately all the procedures related to contract signing, including gathering documents to comply with due diligence requirements and KYC requirements;
- Support the Market Intelligence department, to manage Client database and prepare yacht selections and mailings as instructed by Brokers;
- Support the Market Intelligence department for any update of information;
- Prepare draft descriptions for each Central Agency yacht/ Commercial Contracts;
- Reception & general office duties (Log and manage enquiries for all sources: web, phone, email, etc.),when required;
- Support in organizing and streamlining team tasks to enhance overall commercial support efficiency;
Key Qualifications, Skills, Experiences and Knowledge Required:
- Language Skills: English mandatory, Additional languages would be a plus;
- Computer Skills: MS Word, Excel, Outlook, Adobe (Basic Photoshop, PDF), Internet;
- Experience/ knowledge yachting industry is a plus;
- Experience coordinating team activities;
- Ideally 5 years of experience as an assistant;
- Ability to work on own initiative;
- Ability to think ahead and anticipate needs before they arise;
- Ability to follow precise procedures;
- Ability to coordinate cross-functional tasks and ensure smooth workflow within the commercial support function;
- Ability to monitor priorities, timelines, and shared responsibilities across a team;
- Comfortable taking initiative and contributing to the optimization of internal coordination processes;
- Ability to keep self-control in all circumstances;
